EZTipr University is the official handbook for organizations using EZTipr to run team tipping. It covers every tab, button, and workflow in the admin dashboard. EZTipr never sees or touches tip money — payments flow peer-to-peer between guest and employee through Cash App, Venmo, PayPal, Zelle, or Apple Pay. The platform tracks engagement (page views, payment clicks, CTR) but never dollar amounts.
Getting Started
First-day basics — the dashboard, navigation, and core concepts.
Welcome to EZTipr for Teams
Summary: How EZTipr works for organizations, what you get out of the box, and what to set up first.
Tags: intro, overview, setup, onboarding
EZTipr lets every member of your team have a personal, branded tip page that guests reach by scanning a QR code. Every tip flows directly from the guest's payment app (Cash App, Venmo, PayPal, Zelle, Apple Pay) to the employee — we never touch the money.
What you get as an org
- A branded subdomain — eztipr.com/your-slug/u/<employee>
- Custom logo, colors, and background applied to every employee page
- Roster management with departments, bulk CSV import, magic-link invites
- Bulk hardware ordering (QR pins, stickers, magnets, tip cards) with per-employee artwork
- Org-wide analytics: page views, payment clicks, CTR, top performers, daily trend, CSV export
- Optional guest feedback (star ratings + comments)
- Optional AI assistant trained on your org's data
- Multi-admin permissions with audit log
Set this up first (in order)
- Branding — upload logo, set colors. Takes 2 minutes.
- Industry — pick one so tip card messages auto-populate.
- Employees — invite by email or bulk CSV.
- Print Products — order a 5-pack of test pins, then go bulk once you love them.
- Billing — add a card before your trial ends so nothing pauses.
Money never goes through EZTipr: Tips are 100% peer-to-peer between guest and employee. No platform cut, no payout delay, no tax forms from us.
A tour of the org dashboard
Summary: Every tab, what it does, and when you'd use it.
Tags: tour, navigation, tabs, sidebar, layout
The org dashboard has a left sidebar with one tab per concern. Most days you live in Overview, Employees, and Analytics.
What each tab is for
- Assistant — chat with the AI about your org (Pro Plus add-on, or included on Scale).
- Overview — KPI tiles (views, clicks, CTR, active employees), recent activity, anything needing attention.
- Analytics — trends over time, top performers by engagement, CSV export.
- Feedback — guest star ratings and comments (add-on, or included on Scale).
- Employees — roster, invites, bulk import, departments.
- Branding — logo, colors, background, badge visibility.
- Print Products — order QR pins, magnets, stickers, tip cards. Track shipments.
- Team — co-admins and the audit log.
- Billing — plan, seats, card on file, invoices.
- University — this knowledge base (you are here).
Default tab: New sessions land on Overview by default. You can switch tabs from the sidebar or jump anywhere instantly with ⌘K.
The top bar: badges, seats, search, notifications
Summary: Every status indicator and quick action at the top of the dashboard.
Tags: top bar, header, status, badges, seats, notifications
Left side
- Plan badge — your tier (Starter, Growth, Scale, Enterprise).
- Status badge — trialing / active / past_due / unpaid / canceled.
- Seat meter — active employees / included seats, with a colored bar.
Right side
- Search (⌘K) — jump to any tab, employee, or quick action.
- Live page — opens a real employee's branded page in a new tab.
- Copy URL — copies the branded URL pattern.
- Notifications bell — recent events worth your attention.
- Account menu — switch to personal dashboard or sign out.
Watch the seat meter: When you cross 90% the bar turns red. Add seats before you hit the wall — invites are blocked at the limit.
The ⌘K command palette
Summary: The fastest way to navigate. Search every tab, employee, and quick action from one input.
Tags: cmd-k, search, palette, shortcuts
Press ⌘K (Mac) or Ctrl+K (Windows) anywhere in the dashboard to open the command palette. Type a few characters and it fuzzy-matches across employees, tabs, and quick actions.
What you can do from the palette
- Jump to any sidebar tab
- Open an employee's profile drawer
- Re-order hardware for a specific employee
- View their analytics drilldown
Power-user tip: Most actions in the dashboard are 1-2 keystrokes from the palette. After a few days you'll stop using the sidebar for anything but visual context.
Notifications: what triggers the bell
Summary: The bell in the top-right surfaces four kinds of events — here's what each one means.
Tags: notifications, bell, alerts
The four sources
- Employee joins — when an invite is accepted and someone lands on your roster.
- Hardware status — Printful webhook fires on production → shipped → delivered.
- Feedback — new guest reviews, with extra emphasis on low ratings.
- Billing & seats — synthetic alerts when seats hit 90%, cards expire, payments retry.
"Mark all read" really clears it: Synthetic billing/seat alerts stay dismissed until the underlying condition changes or the next day rolls over.
Branding
Logo, colors, backgrounds, and how your team appears to guests.
Branding: how guests see your team
Summary: Logo + colors + background + URL = your branded tip page. Set once, applies to every employee.
Tags: branding, logo, colors, design
Branding is the most visible decision you'll make. Every employee's tip page inherits your org's logo, colors, background, and the optional CTA button overrides — guests should instantly recognize the place they just left.
What's configurable
- Logo — PNG, JPG, WebP, or SVG. Square works best.
- Primary color — used for CTA buttons unless overridden.
- Secondary color — used as background fallback.
- Background — solid color, gradient, or hosted image URL.
- Text & button overrides — when contrast against the background needs help.
- Hide EZTipr badge — removes the "Create your own" footer link.
- Industry — drives smart tip card message presets.
Uploading and replacing your logo
Summary: File formats, sizing, and the delete-then-upload flow that keeps storage clean.
Tags: logo, upload, branding
- Branding tab → click "Upload logo".
- Pick a PNG / JPG / WebP / SVG. Under 2MB is plenty.
- Preview updates instantly. Click "Save branding".
- To swap later, hit "Replace logo" — the old file is auto-deleted from storage.
Square works best: Logo renders inside an 80×80 frame on the tip page and an 8×8 frame in your sidebar header. Square versions of your mark look crisp at both sizes.
Avoid wordmarks-only: A long horizontal logo gets squeezed into the round avatar slot on some QR products. Have a square version ready for hardware.
Colors, gradients, and overrides
Summary: When primary/secondary is enough vs. when to use the text/button overrides.
Tags: colors, contrast, theme, design
Primary and secondary are the only colors you usually need. The dashboard auto-derives text and button colors that have good contrast.
When to use the overrides
- Bright/photographic background — set a text color (usually white) so headlines don't blend.
- Primary color is pastel — set a darker button background so the CTA still pops.
- Brand mandates white text on green buttons — set both button background and text explicitly.
Quick contrast test: Look at the live preview on the right of the Branding tab. If you have to squint to read the employee name, increase contrast.
Backgrounds — color, gradient, or image
Summary: The three background modes and when each works.
Tags: background, gradient, image, design
Three modes
- Color — single solid hex. Safest. Works great with a strong logo.
- Gradient — paste any valid CSS gradient, e.g. linear-gradient(135deg,#12b886,#0F172A). Premium feel, still lightweight.
- Image — paste a hosted URL (Cloudinary, Imgur, your CDN). The image is set as cover, centered.
Image backgrounds need contrast help: Photos rarely have consistent contrast across the whole tip page. Set the text override to white (or another solid) when going image.
Employees
Inviting, organizing, and managing your roster.
Inviting employees one by one
Summary: The simplest path: email → magic link → username → live.
Tags: invite, employee, magic-link, onboarding
- Employees tab → "Invite" button.
- Enter their email, optionally pick a department.
- They get a branded magic-link email — clicking it logs them in instantly.
- They pick a public username (becomes /u/that-name).
- Their tip page is live on your branded URL within seconds.
Pending vs accepted: Invited emails show in the Invites panel with status "pending". They move to the roster the moment they pick a username.
Bulk inviting via CSV
Summary: Onboard a whole shift in one upload. Required columns and gotchas.
Tags: csv, bulk, import, employees
Use Bulk CSV when you have more than ~10 employees to invite. One file, one click.
CSV format
- email — required, must be valid and unique.
- department — optional, becomes a filter in Analytics later.
- display_name — optional, pre-fills the employee's display name.
Watch for duplicates: Emails that already have an EZTipr personal account get a special invite — they keep their existing username but become managed under your org.
Departments and why they matter
Summary: Organize the roster, filter analytics, and route feedback by team.
Tags: departments, organization, filters
Departments are free-text labels you attach to employees. They power three downstream things:
- Analytics filter — slice tips and performance by team.
- Feedback attribution — show ratings per department instead of per employee (if your tier prefers).
- Pin map — bulk hardware orders group employees by department for sorting.
Pick ~3-8 departments: Too few and the filter is useless. Too many (>15) and dropdowns become a chore.
The employee profile drawer
Summary: Edit department, view their analytics, jump to their live page, or remove them.
Tags: profile, drawer, edit, employee
Click any employee row to open their profile drawer. Everything about that one person lives here.
What's in the drawer
- Avatar, name, username, department.
- Engagement totals — page views and payment clicks (7d / 30d / all time) with CTR.
- Direct link to their live branded page.
- Re-assign department, reset their photo, remove from org.
- Re-order hardware for just this employee.
We never see tip dollar amounts: EZTipr tracks views (page loads) and clicks (payment-app launches). The actual tip amount is set inside Cash App / Venmo / PayPal — that data never reaches us.
Removing employees from the roster
Summary: What happens to their tip page, their data, and their seat when they leave.
Tags: remove, offboard, employee, churn
When you remove an employee, three things happen:
- They're unlinked from your org — they keep their EZTipr account but lose the branded URL.
- Their personal /u/<username> page on eztipr.com still works (now unbranded).
- The seat frees up immediately for a new invite.
No accidental data loss: Historical analytics for the removed employee stay in your org reports. The person is just no longer on the active roster.
Employees can request hardware themselves
Summary: Lower-friction reorders — employees flag what they need, admins approve and order.
Tags: requests, hardware, employee
Employees see a "Request hardware" option in their personal dashboard. Submissions land in your Product Requests panel for approval. One click sends it into the normal bulk-order flow.
Why this is good: Frontline staff know first when a pin gets lost, a sticker peels, or a new hire needs hardware. Letting them ask saves admin time and keeps the team equipped.
Print Products
QR pins, magnets, stickers, tip cards — order and track them.
The print products catalog
Summary: Every product you can order, what it's for, and what it costs.
Tags: catalog, pins, magnets, stickers, tip cards
Available products
- 1.25" QR pin (5-pack) — small uniform pin, fits a name badge.
- 2.25" QR pin (5-pack) — larger and easier to scan from arm's length.
- 3"×3" QR sticker — laptop, locker, podium, valet stand.
- 6"×6" QR sticker — table tent, mirror, cart.
- 3"×3" QR magnet — fridge, cart, metal back-of-house surfaces.
- Tip cards (50 or 100 pack) — credit-card sized handouts.
Org bulk = 10% off + one box: When you place a bulk hardware order through the Print Products tab, you get a 10% org discount and everything ships in a single Printful box.
Placing a bulk hardware order
Summary: The 5-minute flow: pick a product, pick employees, confirm shipping, confirm payment.
Tags: bulk, order, hardware, printful
- Print Products tab → "New bulk order".
- Choose product (pin / magnet / sticker / tip card).
- Select employees (defaults to your whole active roster).
- Pick a design template — 4 brand-color-aware styles.
- Confirm shipping address.
- Review live Printful shipping quote and order total.
- Pay — your card on file is charged off-session.
One box, sorted by employee: The whole order ships in a single Printful package. Use the pin map (next article) to sort items at unboxing.
The pin map — sort hardware at unboxing
Summary: A printable cheat sheet that matches every pin/sticker to an employee name and department.
Tags: pin map, unboxing, fulfillment
When 50 nearly-identical pins arrive in one box, you need a key. Every bulk order has a pin map at /org/orders/:orderId/pin-map — print it landscape and tape it to the table while you sort.
What the map shows
- Thumbnail of each pin/sticker artwork.
- Employee name and department label.
- Sorted by department, then alphabetical.
One-click reprint: You can come back to the pin map any time from the order card in Print Products.
The four design templates
Summary: Pick the visual style — clean, bold, classic, or playful — and your brand colors fill in automatically.
Tags: templates, design, pins, artwork
Every QR product (pins, magnets, stickers) renders against four templates. Each template uses your primary and secondary colors so the result feels on-brand without you designing anything.
- Clean — minimal, white QR on solid primary.
- Bold — large outlined QR with employee name banner.
- Classic — circle frame, secondary border, logo crown.
- Playful — diagonal accents and tip-card-style banner.
Preview before you commit: Each template renders a live preview during the bulk order flow. Click through all four — the differences are usually obvious in 5 seconds.
Shipping, tracking, and the order timeline
Summary: How status flows from placed → production → shipped → delivered, and when tracking actually works.
Tags: shipping, tracking, status, printful
Status lifecycle
- Placed — payment confirmed, order created in our system.
- Production — Printful accepted the order and is printing (1-3 business days).
- Shipped — carrier has the package, tracking URL becomes available.
- Delivered — carrier confirmed delivery (auto-detected via Printful).
Tracking shows only after "shipped": Printful provisions a myorders.co tracking URL at production time, but the page returns a 404 until the first carrier scan. We deliberately hide the Track link until status is shipped or delivered.
Reordering and retrying failed items
Summary: One-click rerun a past order. Retry only what failed.
Tags: reorder, retry, failed, hardware
Two buttons live on every order card in the Print Products tab:
- Reorder — clones the order with the same employees, template, and shipping address. Edit before submit.
- Retry failed items — only appears when the order itself failed or at least one item failed during fulfillment. Re-runs just those items.
Why retry?: Occasionally a single artwork URL times out during Printful submission. Retry typically resolves it without any change on your end.
Tip cards — when to use them
Summary: Credit-card sized handouts for service contexts where pins/stickers don't fit.
Tags: tip cards, print, handouts
Tip cards are a per-employee print product: 50-pack ($17.15) or 100-pack ($25.31). The front shows the QR + employee + a short message; messages are industry-aware so a hair stylist gets different copy than a hotel valet.
Great use cases
- Restaurant servers — drop one with the check.
- Hair stylists / nail techs — hand one out at checkout.
- Drivers / movers — leave on the dashboard or with the receipt.
- Home services — leave one on the kitchen counter when finished.
Set your industry first: The Branding tab's Industry dropdown drives the suggested message presets. 22 industries are pre-seeded.
Analytics
Reading the numbers — KPIs, drilldowns, exports.
Reading the Analytics tab
Summary: KPIs, trend chart, top performers, and what each number actually means.
Tags: analytics, metrics, kpi
We measure engagement, not dollars: EZTipr never sees how much someone tipped — payments happen inside Cash App / Venmo / PayPal / Zelle / Apple Pay. We measure intent: who viewed a page and who tapped a payment button.
Core metrics
- Page views — total loads of any branded tip page in the date range.
- Payment clicks — taps on a Cash App / Venmo / PayPal / Zelle / Apple Pay button.
- CTR — payment clicks ÷ page views. Best single proxy for "how often a scan turns into a tip".
- Active employees — anyone who got ≥ 1 view in the range.
- By department — slice all of the above by team.
- By hour / day-of-week — heatmap reveals peak tip moments.
- Payment-method breakdown — which apps your guests prefer.
Date ranges, department filters, drilldown
Summary: How to compare last week to this week, isolate a single team, or zoom into one employee.
Tags: date range, filter, drilldown
Date ranges
- Presets — Last 7 / 30 / 90 days, MTD, QTD, YTD.
- Custom — pick any two dates.
Filters
- Department — only count employees in this team.
- Click any employee row to open their drilldown drawer with day-by-day views and clicks.
Comparison mode: Pick "Last 30 days" then click "vs previous" — each KPI shows a delta against the prior period.
Exporting to CSV
Summary: Pulling raw rows into Sheets/Excel for ad-hoc analysis.
Tags: csv, export, spreadsheet
- Analytics tab → "Export CSV" (top right).
- You get a roster export — one row per employee with views, clicks, and CTR for the active date range.
- Open in Sheets or Excel.
CSV respects active filters: If you have a department filter on, the export only contains rows for that department.
Guest Feedback
Capture star ratings and comments from tipping guests.
Turning on guest feedback
Summary: Star ratings and comments after a tip — what guests see and how to enable it.
Tags: feedback, ratings, enable
Guest feedback adds a "How was your experience?" prompt after a successful tip. Ratings + optional comments flow into your Feedback tab.
- Billing tab → enable the Feedback add-on ($39/mo, or included free on Scale).
- Branding tab → scroll to Feedback Settings → toggle "Enable feedback".
- Customize the prompt text and the improvement prompt.
- Pick attribution: per-employee or per-department.
Per-department is gentler: For new teams or shy employees, per-department attribution surfaces useful patterns without singling people out.
Customizing the feedback prompts
Summary: Two prompts — one for general feedback, one for low ratings — that you can rewrite.
Tags: prompt, customize, feedback
The default prompt is generic on purpose. Rewriting it in your voice doubles response rates.
- Main prompt — shown after every tip. Keep it short, warm, and specific to your business.
- Improvement prompt — shown only when a guest selects 1–3 stars. Frame it constructively.
Don't over-engineer it: A simple "How did we do?" works. Avoid loaded questions like "Would you tell a friend?" — they bias scores upward and dilute signal.
Reading and acting on feedback
Summary: Filter, search, and respond to the right reviews first.
Tags: feedback, reviews, response
Triage order we recommend
- 1- and 2-star reviews from the last 7 days — surface immediately.
- Long comments (50+ words) — usually contain specific stories worth following up.
- Repeat themes across employees — escalate to ops/management.
- 5-star reviews mentioning a specific employee — share publicly to reinforce.
Low ratings trigger notifications: Any rating ≤ 2 lights up the notifications bell in real time. Don't leave them sitting.
AI Assistant
Ask plain-language questions about your org.
What the AI Assistant knows
Summary: A plain-language interface to your org's data. Asks. Answers. No SQL.
Tags: ai, assistant, chat
The Assistant has read-only access to your roster, page views, payment clicks, departments, hardware orders, and feedback. It does NOT have access to tip dollar amounts (we never see them), payment internals, billing details, or other organizations.
Good questions
- "Who got the most payment clicks this week?"
- "Which department has the lowest CTR?"
- "How many of my pins have shipped this month?"
- "Show me employees with zero views in the last 14 days."
- "Summarize last week's feedback in 3 bullets."
Pro Plus add-on: The Assistant is a $39/mo add-on enabled from the Billing tab — and included free on the Scale tier. Usage is metered — see the usage widget on the Assistant tab.
Getting better answers from the Assistant
Summary: Specificity wins. Time bound, scope bound, output bound.
Tags: ai, prompting, tips
- Time bound — "this week", "last 30 days", "since June 1".
- Scope bound — "in the valet team", "for employees hired this quarter".
- Output bound — "as a 3-bullet summary", "as a list of names".
Iterate fast: Ask the same question 3 different ways. The Assistant is cheap to query; refinements take 5 seconds and dramatically improve answers.
Team & Admins
Co-admins, roles, audit log, accountability.
Owner vs admin vs employee
Summary: Three roles. Different permissions. One audit log.
Tags: roles, permissions, admin, owner
What each role can do
- Owner — everything an admin can do, plus manage billing and delete the org.
- Admin — manage roster, branding, hardware, analytics, feedback, assistant. Cannot touch billing.
- Employee — only sees their own personal dashboard and tip page.
Only one owner at a time: Transfer of ownership requires the current owner to promote a new one. Plan ahead for vacations or role changes.
Adding and removing co-admins
Summary: Bring in a manager. Demote someone who changed roles.
Tags: admins, team, invite
- Team tab → "Invite admin".
- Enter their email. If they're already in your org as an employee, they're instantly promoted.
- They receive a magic-link email and land in the Org dashboard on next login.
- To remove or demote: row menu → "Demote to employee" or "Remove from org".
Audit log captures everything: Promote, demote, remove, branding change, hardware order — all logged with admin email + timestamp in the Team tab.
The audit log
Summary: Who did what, when. Useful for accountability and post-mortems.
Tags: audit, log, history
Every admin-level action writes a row to your org's audit log. Visible in the Team tab.
What gets logged
- Roster changes (invites, removals, department updates)
- Admin promotions and demotions
- Branding edits (logo upload, color changes)
- Hardware orders (placed, refunded, retried)
- Billing actions (tier changes, payment method updates)
- Feedback settings changes
Tip queries don't go here: Reading analytics, opening employee drawers, viewing feedback — these are non-mutating and not logged.
Billing
Plans, seats, payment methods, lifecycle states.
Plans and tiers — what's included
Summary: Starter / Pro / Pro Plus / Enterprise, plus the two add-ons.
Tags: plans, pricing, tiers
The four tiers
- Starter — $99/mo, 25 seats included, $3.49 per additional seat. All hardware products + full analytics.
- Growth — $249/mo, 100 seats included, $2.49 per additional seat. Most popular.
- Scale — $499/mo, 250 seats included, $1.99 per additional seat. Both add-ons included free.
- Enterprise — custom seats, SLA, dedicated CSM. Contact sales.
Add-ons
- Guest Feedback — $39/mo. Star ratings + comments after tips. Included free on Scale.
- AI Assistant — $39/mo. Plain-language queries against your org data. Included free on Scale.
Where seats are counted: Each active employee on the roster = 1 seat. Pending invites are free until accepted. Overage seats are billed automatically at your tier's per-seat rate.
Seats, overage, and upsizing
Summary: How seats are counted, what happens at the limit, and how to add more.
Tags: seats, overage, limit
A seat is consumed by any active employee on your roster. Pending invites do NOT consume a seat until they're accepted.
What happens at the limit
- 90% used — yellow alert in notifications.
- 100% used — each additional active employee is billed at your tier's per-seat overage rate ($3.49 Starter / $2.49 Growth / $1.99 Scale).
- Free a seat by removing an inactive employee.
- Upsize the tier from the Billing tab — proration is automatic and usually saves money once you're consistently over.
When upsizing saves money: The Overview tab shows a yellow "upgrade saves $X/mo" nudge once your overage exceeds the price gap to the next tier.
Trial → active → past_due → unpaid: what each state means
Summary: Read the status badge correctly and know what action to take.
Tags: lifecycle, states, trial, past_due
Each state, decoded
- trialing — your free trial is active. Add a card before it ends.
- active — card on file, charges succeeding. Everything works.
- past_due — last charge failed. Stripe is retrying. Branded pages still work. Fix card ASAP.
- unpaid — retries exhausted. Branded pages pause; personal /u/<username> pages keep working.
- canceled — org is locked except for Billing. Re-subscribe to restore.
unpaid pauses branded URLs: Guests scanning a branded QR see a 'page paused' message. Tip flow continues via each employee's personal /u/<username> page — but you lose the branding investment until billing is fixed.
Managing your card and invoices in Stripe
Summary: We hand you off to Stripe's portal for the actual payment management.
Tags: stripe, invoices, card, portal
- Billing tab → "Manage in Stripe".
- Stripe opens in a new tab (we use _blank to bypass iframe limits).
- Update card, view invoices, change billing email, download receipts.
- Changes sync back to your dashboard within seconds.
Manual subscriptions show gracefully: If your subscription was created manually outside Stripe (rare — enterprise contracts), the portal button is hidden and we show contact info instead.
Power Tools
Search, notifications, keyboard shortcuts.
Switching between Org and Personal dashboards
Summary: You're both an admin AND a tippable employee. Two dashboards, one account.
Tags: switch, personal, dashboard
Every org admin also has a personal EZTipr account. Switch between dashboards from the bottom of the sidebar ("Switch to personal") or the account menu in the top-right.
You don't lose your place: Each dashboard remembers its own active tab. Coming back to the org dashboard lands you exactly where you left off.
Keyboard shortcuts cheat sheet
Summary: A handful of shortcuts that save real time.
Tags: shortcuts, keyboard, productivity
- ⌘K / Ctrl+K — open command palette.
- Esc — close any open dialog, drawer, or palette.
- / — focus the search input (when palette is open).
- ↑ / ↓ — navigate palette results.
- ↵ — pick the highlighted item.
Using the dashboard on your phone
Summary: Yes, the whole admin dashboard is mobile-friendly. Here's what changes.
Tags: mobile, responsive, phone
The dashboard is fully responsive. On mobile, the sidebar collapses into a slide-out drawer, the top bar trims to icons, and quick actions stay one tap away.
Things that work great on mobile
- Reviewing notifications between shifts.
- Approving employee product requests.
- Checking analytics KPIs.
- Opening an employee's live page to QR-share.
Bulk operations want a laptop: CSV uploads, bulk hardware orders, and audit log review are doable on mobile but much faster on desktop.
